We are looking for a proactive and highly organised Executive Assistant to the CEO who can manage schedules, communication, meetings, reporting and coordination across departments. The ideal candidate will take ownership of follow-ups, track important tasks, ensure timely execution of decisions and help the CEO focus on business growth, strategy and leadership.

Requirements

Bachelor's degree in a relevant field, strong communication and coordination skills, proficiency in MS Office/Google Workspace, Excel and PowerPoint, familiarity with AI tools, and the ability to manage confidential information, multiple priorities and executive-level responsibilities.

About The Role

We are looking for a highly organised, responsible and proactive Executive Assistant to the CEO who can manage daily executive activities and ensure smooth coordination across departments.

The role goes beyond calendar management and administrative support. You will act as a key link between the CEO and different teams, ensuring that instructions are communicated, tasks are tracked, deadlines are met and important decisions are executed.

You should be someone who takes ownership, handles confidential information responsibly, anticipates requirements and reduces the need for repeated follow-ups from the CEO.

What you’ll do

Manage the CEO's Schedule and Priorities

Plan and review the CEO's daily calendar, meetings, appointments and priorities. Identify urgent matters and ensure the CEO's time is used effectively.

Handle Communication and Meeting Management

Screen calls, emails and messages and bring important matters to the CEO's attention. Schedule meetings, prepare background information, record Minutes of Meetings (MOM) and track action points.

Track Tasks and Ensure Execution

Maintain a tracker of tasks assigned by the CEO, including owners, deadlines and progress. Follow up with departments and ensure pending actions are completed without repeated reminders.

Coordinate Across Departments

Collect regular updates from Sales, Operations, Finance, HR, Admin, Digital Marketing and Technology teams. Coordinate between departments to avoid delays and improve execution.

Prepare Reports and Escalate Important Issues

Prepare daily updates covering completed tasks, pending activities, delays and critical matters. Highlight genuine issues with facts, business impact and possible solutions for the CEO's attention.

Support Executive Activities and Planning

Assist with presentations, research, business documents, travel arrangements and important client meetings. Use digital and AI tools to improve productivity, reporting and coordination.

Qualifications

  • Bachelor's degree in Business Administration, Management, Commerce or a related field.
  • Previous experience as an Executive Assistant, Personal Assistant, Management Assistant or in a similar coordination role is preferred.
  • Experience working directly with senior management or leadership teams will be an advantage.
  • Strong knowledge of MS Office and Google Workspace.
  • Practical experience with Excel/Google Sheets, presentations, calendars and task management tools.
  • Ability to prepare professional reports, meeting notes and executive summaries.
  • Familiarity with AI tools for research, drafting, summarisation and productivity.

Required Skills

  • Excellent verbal and written communication skills.
  • trong organisational, planning and time-management skills.
  • Good working knowledge of Excel/Google Sheets, PowerPoint and Google Workspace.
  • Meeting coordination, MOM preparation and action-item tracking.

  • Ability to identify and prioritise CEO-level matters.

  • Problem-solving and decision-making abilities.
  • Responsible use of AI and digital productivity tools.

Professional Attributes
